Workspace user roles and permissions overview

Every beehiiv account has its own workspace, where you manage publications, teammates, API access, and billing information. Within this workspace, you can assign teammates to be an Admin, Member, or Contributor.

In this article, we’ll explain the responsibilities and capabilities of each role, along with some practical use cases. We’ll also provide detailed charts outlining the permissions for different features within beehiiv.


Types of user roles

Admin

Admins have full access to all areas of the account, including subscriber lists, wallet, revenue data, and everything else. It’s best to assign this role only to trusted teammates within your workspace.

Important Note:

The Admin who originally created the publication is assigned the role of Owner.

If their role is internally reassigned, their permissions will not change, and the title ‘Owner’ will remain associated with their team profile.

Member

The Member role is designed for teammates who need access to most features but should not have access to more sensitive settings, typically reserved for Admins.

Members can perform all tasks except the following:

  • Members cannot update Stripe accounts, bank accounts, billing, or domains.
  • Members cannot export data, access the API, or change workspace settings.

Contributor

This Contributor role is dedicated to content creation, with access limited to the post editor and automations. It’s ideal for freelance writers or content creators who don’t need access to data or settings.

Contributors can:

  • Create and design posts, post templates, and automations.
  • However, they cannot publish posts or activate automations.

Types of access levels 

Publication Access

This type of access allows a teammates to fulfill their role in a specific publication to which they are assigned.

For example, if your workspace includes three publications (A, B, and C) and you want this user to have access only to publications A and C, you would invite them as a “publication” member twice — once for each publication.

Workspace Access

Workspace access grants permissions across all publications within the workspace.

For example, if a user is added as a ‘Workspace Member,’ they will have Member access to every publication in the workspace. This access automatically extends to any future publications you add to the workspace, providing streamlined permissions across the board.


Example roles and use cases

Freelancer Access
“I’m hiring a freelancer to write posts across all publications, but I don’t want them to see my revenue or access the subscriber list.”

Solution: Assign this user as a Workspace Contributor.

Automation Coordinator
“I have a team member who manages our automations and publishes posts, but I don’t want them to have access to export our full subscriber list, and their work is limited to one specific newsletter.”

Solution: Assign this user as a Publication Member for that specific publication.

Mixed role across publications
“I want this person to be an admin for our first publication but a member for the other 2. How can I set this up?”

Solution: Add them as a Publication Admin in the first publication, and as a Publication Member in the other 2.
